Abstract

This research work is titled “The Need for Effective Communication System in an Organization”. This arises as a result of ineffectiveness in production in an organization, which the writer intended to proffer solution to the improvement of effective communication system in human behaviour. Also, the researcher was able to resolve the problems facing the need for effective communication system in an organization and how it fosters inter-relationship among the rank and file towards actualization of the goals and objectives of the organization. The researcher will suggest that staff/management relationship be enhanced to enable them appreciate the need to strengthen those areas that will bring about efficient running of the organization for their mutual benefits. Therefore, communication is considered a vital instrument that cannot be neglected if any organization is to survive. The cumulative effect of breakdown in communication system is low productivity.      


CHAPTER ONE

1.0    INTRODUCTION

The importance of communication or exchange of ideas between people cannot be over emphasized. Human beings all over the world interact with one another, they move from one environment to the other.

Businessmen, even market women buy and sell goods through the instruments of communication. Communication is therefore as old as humanity and the fastest growing means of modern information technology.

Communication is the bedrock which is used as a tool for socials economic and political; interaction to achieve success and goals in any organization. Therefore, effective business transactions are conducted through the exchange of information and messages are received regarding the operation of business without such communication the activities of business organization would have come to a halt.

Infect, effective communication is one of the most important factors governing the relationship that exist in both private and in business life.

According to Rita Udall and Sheila Udall (1979:5) communication is the process by which one person shares and impact information to another person or group that people clearly understand one other.

Also, R, Chapel and W.L Rea (5th edition 1984:1) defined communication as a means by which thought is transferred from one person to another.

Communication is the process of speech or interaction between two or more person meant to transmit a meaningful message.

1.1       BACKGROUND TO THE STUDY

Communication is therefore the device by which information is used to increase productivity in office.

The ideas of effective communication system are mainly centre on the way in which to expand businesses as well as increasing productivity at the same time. In the world over effective communication system is beyond more talking or writing.

A lot of people think and write without thinking positively one the organization by way of meeting their goals and objectives.

One of the major problems facing many of the organizations today be it public or private organization is ineffective communication system. Even since the beginning of creation many has adopted various means of communication these process continue down to the present era. All geared towards seeking avenue of greater efficiency and increased sped of production in organizations.

It’s therefore established that there is a correlation between effective communication system and the impact that will finally bear on the productivity in any organization.

Communication is therefore used to effect changes in attitudes through motivation, conducting of business activities etc.

Effective communication is one of the major tools used in conducting business, linking organization to the outside word and bringing the aims and objectives of the organization to the fore front of the society. No organization can survive beyond its plan without effective communication. Therefore communication is a life wire of conducting interaction within and outside the organization.

 

1.2       STATEMENT OF THE PROBLEM

Many organizations today have not reached to the expectation of their goals because they have not adopted the appropriate strategies of effective communication system, either within the organizations or outside the organizations to this effect, many organizations have become less functional and ever close down because of ineffectiveness in their communication system.

Communication is indispensable in both the human and animal kingdoms and human has been made possible over the years by the instrumentality of trainings. It is always very difficult to get smooth or vice-versa. The reason being that of human’s response that is the prime factor in the channel of communication flow.

No institution or organization can carry on smoothly without effective communication system for a command or assignment to be carried out, bringing in the best result, there must be an effective communication in place.

The study will reveal how ineffective communication affects low productivity and why many organization always fail to achieve there aims and objectives.

 

1.3       PURPOSE OF THE STUDY

The purpose of this research study is intended to look at the factors that are responsible for ineffective communication system in an organization.

The Purpose of the Study are as follows:

             i. To create good command of English language and promote effective    communication system.

           ii. To promote good writing skills in the organization

          iii. To eradicate inefficiency that lenders smooth communication system.

          iv. To evaluate the effective communication system and boost growth and development in an organization.

 

1.4       SIGNIFICANCE OF THE STUDY

The importance of communication cannot be taken for granted because it will hinder business activity or even day to day running of an organization.

Communication is one of the most vital tools of an organization without which the organization cannot operate successfully. Therefore, the study will be of immense importance to all business organization including private or public sectors, the study will be useful to any organization in terms of how communication can be instituted and be an effective means of resolving conflicts.

The research will boost the understanding of manager’s civil servants, Public servant and secretaries of low vital communication can be done effectively without causing delay and confusion.

This research will focus on finding solutions to certain peculiar problems of communication in most offices including schools and polytechnic.

The study will show the consequences of ineffective communication system and low to over come them all.

 


1.5        RESEARCH QUESTIONS

The researcher will make use of the following research questions.

  1. To what extent does a good command of English language promote effective communication system?
  2. To what extent does ineffective communication system inhibit productivity?
  3. To what degree does effective communication system improve productivity?
  4. To what extent does communication influence the smooth running of an organization?
  5.  

1.6       SCOPE OF THE STUDY

This study is limited to (U.B.A) Lokoja in getting information concerning their communication network.


1.7       LIMITATIONS OF THE STUDY

There was a lot of constrains in carrying of the research work.

The first difficulty was related to the organization as any case study (U.B.A) in getting information concerning their communication network was not easy because of the sensitive nature of dealing with money.

Another constraint was the problem of cost in term of money and time where I could meet regularly for gathering materials and successfully complete the project as required.

Relevant terms will be defined to make the study more understandable to the user of this research.

  1. Effective: this refers to using the best method to meet the of a determined goal.
  2. Communication: this is the transmission of information from sender to the receiver and from receiver to the sender where both understand each other.
  3. System: is the appropriate use of a systematical ideology.
  4. Organization: this is a group of people who willingly come together for the purpose of meeting their goals and objectives.
  5. Information: is operationally defined as data processed in such ways that convey useful meaning to the ultimate recipients.
  6. Medium: Is the channels that connect the sender and receiver of the message
  7. Encode: The process of using appropriate designated message to the transmit information.
  8. Decode: The process of translating the designated message to the day mans understanding.
  9. Feed Back: The response to message either positive or negative depending on the sender and receiver.
